Tailoring The Report

A Long Term Repair and Capital Plan is tailored to the client’s specific requirements. Unlike a Reserve Fund Study the content and is not dictated by legislation but by the client’s requirements. The reports are similar in nature to the reserve fund study, however, they can be expanded to include additional items such as:

  1. Kitchen components,
  2. Office furnishings,
  3. Sound and audio system,
  4. Church pews and,
  5. Specialty furnishing, etc.

The components can also be further separated into:

    1. Repair and capital expenses based on the client’s definition of and requirement.

In addition the components can be further divided into:

    1. Mandatory, cyclical and optional expenses to enable the client to further redefine the expenses and funding requirements.

  1. Identified long term funding requirements for the facility to maximize operation life expectancy of the components identified in the report.
  2. It should reduce the risk of unplanned financial expenditures.
  3. It should prolong the economic life of the building components through properly scheduled maintenance and repairs.
  4. Reduce board liability with respect to properly managing the corporation.

What We Require From You?

    1. Person to person meeting to go over the scope of the project and tailor the project to the clients’  specific needs. This will allow us to make sure we are meeting your requirements.
    2. Access to the physical property.
    3. Access to blueprints/construction drawings; site plans, architectural, structural, mechanical and electrical.
    4. A copy of the building plan.
    5. Information about, and access to all relevant documentation pertaining to, repairs and maintenance carried out and/or ongoing projects relating to various building systems (structural, electrical and mechanical).
    6. Copies of any previous technical studies completed.
    7. Historic information regarding the complex and any problems and information respecting, planned changes (physical and financial) to the complex and/or its various components.

  • Once a project is awarded:
    1. Set up a meeting and conduct interviews with the applicable client representatives or their designated representative(s) to gather information regarding historic maintenance issues and/or any planned changes to the physical property.
    2. Conduct a site inspection of the property; buildings, grounds and roadways to view the various components to identify their condition and an understanding of the property.
    3. Review the architectural, structural, mechanical, electrical, landscaping and site services plans.
    4. Review the technical reports and/or documentation available, maintenance contracts and/or any other documentation available with respect to the maintenance, repair and replacement of components.
    5. Review current, historic and budgeted financial statements.

    The report is prepared and a draft report submitted to the board for review

The Process Once Awarded

Follow Up & Support

After a period of time where the Building Committee has reviewed the draft report we will meet with the committee to:

    1. Answer questions in regards to the report
    2. Identify how and why recommendations were made and arrived at.
    3. Make changes identified by the committee where it involves clarification, additional information or possible changes based on client operational requirements.
    4. Provide alternate funding options based on discussions with the Board.
